Cutoff Dates & Refund Guidelines: We understand that sometimes life happens, and plans may need to change. Please review our cancellation policy carefully before registering.

Cancellations before March 1, 2026: 
Full refund minus a $25 processing fee.

Cancellations between March 1 and May 1, 2026:
50% refund only if we are unable to fill your spot.
If we can fill your seat with someone from the waitlist, you will receive a full refund minus a $25 processing fee.

Cancellations after May 1, 2026:
No refunds will be issued unless we are able to fill your seat.
If your seat is filled by someone on the waitlist, you will receive a full refund minus a $25 processing fee.

Why these dates: We begin incurring retreat expenses (venue, catering, swag, materials, etc.) well in advance. These cutoff dates allow us to plan responsibly while also offering you flexibility where possible.

Waitlist = Best chance for a refund!:  We will maintain a waitlist once registration fills. If you need to cancel and we are able to offer your seat to someone from the list, that’s your best route to a refund.

Disclaimers: The $250 registration fee covers retreat activities only and does not include hotel accommodations or meals outside of those provided during retreat hours. Attendees are responsible for making their own lodging and dining arrangements. We will have a discounted room block available at the event hotel for those who wish to stay on-site, and Roanoke offers a wide range of dining options to fit every taste and budget.
